This role is central to ensuring the operational integrity and cost-effectiveness of Vodafone's site refueling, bulk fuel storage, and fleet logistics. The position requires a blend of administrative rigor, advanced analytics, and financial acumen to drive efficiency and leadership in cost reduction. This role is essential in ensuring the efficient, compliant, and cost-effective operation of our vehicle fleet through centralized coordination, proactive maintenance oversight, and insightful reporting and analysis. The ideal candidate will play a key role in improving fleet reliability, minimizing costs, and supporting operational performance across diverse and often remote locations in PNG.

Job Description

  • Data-Driven Dashboard Management: Curate and manage operational dashboards to provide real-time visibility into key performance indicators (KPIs), including fuel spend, operational costs, fleet utilization, maintenance performance, and logistics metrics against targets.
  • Financial Analysis, Budgeting & Cost Optimisation: Analyse operational and financial data to identify cost-saving opportunities, prepare financial models and forecasts, monitor budgets, benchmark costs, and provide reporting to support fuel procurement, fleet utilisation, and management decision-making.
  • Fleet Operations & Asset Management: Maintain accurate records for all fleet assets, including registrations, licences, service history, inspections, insurance, and compliance documentation. Coordinate preventive maintenance programs to maximise vehicle uptime and minimise breakdowns, particularly in remote regions.
  • Fuel Management & FMS Administration: Utilise the Fuel Management System (FMS) to monitor fuel consumption, manage fuel card programs, generate automated reports, identify anomalies such as fuel theft or wastage, ensure data integrity, and recommend improvements to driver behaviour and fuel efficiency.
  • Fleet Performance Analysis & Reporting: Track and analyse fuel consumption, maintenance costs, breakdowns, vehicle utilisation, and operational performance. Prepare regular reports and dashboards that identify trends, operational challenges, and opportunities for continuous improvement.
  • Vendor & Service Provider Management: Liaise with fuel suppliers, repair workshops, insurers, and other service providers to coordinate servicing, repairs, spare parts, procurement, purchase orders, and vendor payments while ensuring quality, cost control, and timely service delivery.
  • Process Improvement & Operational Efficiency: Review workflows, identify bottlenecks, implement process improvements, optimise fleet logistics, and collaborate with procurement, finance, and operations teams to improve efficiency and align fleet resources with business requirements.
  • Compliance, Safety & Risk Management: Ensure fleet operations comply with PNG transport legislation, environmental, health and safety requirements, and company policies. Maintain regulatory documentation, safety inspection records, spill prevention plans, insurance claims, renewals, and audit documentation.
  • GPS & Logistics Coordination: Oversee GPS tracking systems for real-time vehicle monitoring, support logistical planning, and assist operations in managing challenges such as road conditions, weather disruptions, fuel shortages, and regional depot activities. Occasional travel to remote sites may be required.

Desired Skills and Experience

  • Proven experience in fleet administration, logistics coordination, or a similar administrative role.
  • Strong analytical and reporting capabilities, with high proficiency in Microsoft Excel.
  • Familiarity with fleet management software, GPS tracking tools, and dashboard reporting systems.
  • Excellent organizational skills and attention to detail.
  • Ability to work collaboratively with cross-functional teams including procurement, finance, and operations.
  • Understanding of procurement, invoice processing, and vendor management is an advantage.
  • Knowledge of PNG’s regulatory environment, road conditions, and logistical constraints is preferred.
